invoice/receipt software?

I know there is probably hundreds of posts about this and I have read a bunch but I need some advice please.


I carry around a Laptop & Printer..as of late I have been using office to type up all my stuff and print out, but its very time consuming. I am looking for some type of software to make things easier and I don't care if its free or I have to pay for it.

I have seen some that you have to run on a server, they looked really nice but I don't do servers, have never touched one and wouldn't have the foggiest idea how to set one up.

was thinking about using Quickbooks so maybe something that goes well with that, but Ultimately you pro's know way more about this aspect of the business then me so any input would be appreciated please and thank you.

I use mhelpdesk.

Make the invoice right there, email/print it out.

Then sync with quickbooks.
 
I use TS Man and use its outlook/thunderbird integration to email stuff to clients when i'm on their premises and I carry a few blank check in sheets if theres no internet where I'm picking up.
 
I use repairshopr.com

I've just started using repairshopr, and so far like what I've seen. Sadly, where I'm heading in a few minutes I won't have cell/3G service, and the client does not have internet, as he's so far out in the country he can only get dial-up and just won't do it.

So I won't have any choice but to either print him an invoice using something on my laptop, or wait until I get back to the modern world and mail him one by snail mail.
 
I'm using Zoho Invoice, but I can't recommend it. The services works well enough for estimates and invoicing but they've had at least 4 outages this year lasting over an hour. When it's down, I'm virtually blind, can't reference my workflow, can't look up a customer's phone number, can't update a status. I would highly recommend that your selection process includes requesting a report of all downtime the supplier's system has had for the last 6 months, or better yet year (that is if it is a cloud-based service).
 
i've been using harvest and im pretty happy with it. it just does time tracking and invoices. no tickets etc. which is nice because it does tracking and invoicing very well.

i also really like the automated late invoice reminders. im not good about chasing down customers, so i can crank up the late reminders and annoy and or shame them until they pay.

I actually just use Quicken Home and Business as I only do a few systems a week. I already use it for my personal finances, so I'm comfortable with it. It keeps track of my business bank account, sales taxes collected, and I can create and email a receipt to my customer while out in the field.
 
I've been using FreshBooks for over a year and haven't looked back. I just enter the client's information, type up the invoice and it sends it to their e-mail. Once they view it I get a notification and they also have the option to pay the bill then with PayPal or mail me a check within 30 days. All of my clients love it and I love having all of their info in one place for quick access.
 
I use QuickBooks. The main reason I chose it was because I see it so much and I needed to learn to support it. It seems to get the job done and it keeps me ahead on the learning curve for fixing it.
 
We use Quickbooks POS. Love it, does everything we need. It's a point of sale system so my cash drawer, barcode scanner, credit card swiper, receipt and label printer are all attached. Tracks work orders, customer database, customizable fields (passwords, items brought, condition, make model, etc) can all be tracked and included on the work order. Reports on just about anything you would want to track, labeling, etc. Basically, an all in one software. That's all we use and honestly leaves nothing to be desired. Our techs use ipads or smartphones for out in the field mobile payments with the smartphone card reader and it syncs with the system. Can't recommend it enough. I see all these other shops using 2, 3 different pieces of software and don't know how they have the time to do that. I also have my system linked to constant contact for coupon mailing campaigns. You can pull customers who haven't had a sale in a while and send out mass emails or postcards. It's pretty much perfect.

Freshbooks for me. I was thinking about moving to some type of self-hosting solution, but I couldn't find anything that wprked as well for me as Freshbooks. You can log in from anywhere, invoicing is a snap, customers can pay online, automated late notifications, good reports, expenses, time tracking with integrated invoicing... Freshbooks does everything I need, and it does it so well.

I'm a one-man band, however, so keep that in mind.
 
Since you want to put it into an accounting program anyway I'd recommend using the accounting programs sales reciept or invoice function so you need only enter it in one location.

one caveat is that acctg programs are clumsy as CRM but you can easily export data by text file.
 
I second that for Harvest. You can setup the recurring reminders, which will send them emails anytime they're late until they PAY! They also have a good iPhone app which I use. I've also integrated Stripe (to accept credit cards) and Paypal, which some clients use.
