I have a client that some of the employees only used OWA (no local Outlook). Some of the employees are no longer with the company. They would to be able to archive all their old mail to have a record of it incase it might need to be accessed in the future, but not continue to pay for a monthly exchange account that isnt used.

Is there a way to do that without setting up Outlook and creating a backup that way?

We just have one of our test systems sync the account (i.e. setup the account in Outlook and download all content) then export the content as a standalone PST file.

Send that to their archive server / data repository etc. and then pull the plug on the account.

Pay me to do a once-off and you are good for the future... Easy and simple and makes offline viewing a breeze.

We tend to remote into a clients PC and do this same procedure. I've thought about doing it in house and then sending the customer an encrypted flash drive (they are so cheap) for a flat fee.

Yeah I typically setup a profile from anyones computer.....Outlook Anywhere to Exchange...and then export to PST. Don't need to setup the whole local profile on the desktop...can use anyones profile, including Administrator. Just setup an Outlook profile to that ex-users account....and export mailbox to PST..save to some archive folder on the file server. Heck you can go there with your own laptop and use your Outlook to do it....it's just adding another Outlook profile which you can easily delete after you export the PST.

If you have no ability to use someones workstation...you can use Exchange recovery software like Kroll Ontrak...just take last nights backup of the infostore files...mount those in Ontrak...drill to the mailboxes you want and it can export to PST. Excellent piece of software.

I have one client on Intermedia and they have a tool for creating a pst backup of a mailbox. I really wish Office 365 had that.

I think there is a third party offering something but I haven't tried it. This is a regular task for us, when our clients have turnover, so I'd love to cut the process down to 10 minutes from 45.

For me this is how i handle Ex employees:

i migrate them over with the migration tool which is under office365 admin console and in exchange\migration
When im doing the migration i convert them into a shared mailbox and then delegate a user full access to the required ex employee.

Shared mailboxes dont require a office 365 license and you can hide them from global addressbook.
