We just started offering a mobile service. But our only problem is invoicing. Every time we do a house call i have to write up 2 of the same invoices. One for the client and one for us to keep on file. Please if ANYONE knows a better way please let me know.. Thank you in advance

Check out Quickbooks Online. I can create,save, or print an invoice from anywhere with an internet connection.

I keep a excel invoice file on the flash drive I wear around my neck.
one of the last things I do is print it out from the clients computer on their printer and hand it to them.
 
We had some "2-part" invoices made up that worked really well, techs would carry those..

That was back in the day though.. if you like paper, that can be cheap/good.

nowadays we borrow the customer's computer to make up the invoice online, and if they want a copy they can print on their own printer right there :)
 
I print a copy of the estimate/invoice before I head out to the job. If I need to make changes (as long as it's not too drastic) I scratch it out on the paper invoice and write down the corrected charge. I then take a picture on my iPhone for our records after the client signs it and let the client keep the physical copy.
 
I do the invoice when at the office back home, then email the invoice to the client in PDF and keep a copy for myself. The copies are all soft.

However, I issue invoices prior to deliveries for those systems I take off site. These are hard copies I handle in to the client when done.

All the system is manual so far, haven't had the chance to review some of the trackers out there.
 
I too have an Invoice ready to go when I arrive on-site. The Invoice is created in the office so I already have a copy. If drastic changes need to be made, the customer is almost always fine with receiving a soft copy in their inbox.

Basically, use your iPad to create an invoice on-site. When you are done, simply have the client finger-sign it and email them a copy.

You won't need to create a 2nd invoice since as soon as you save the first, it will be saved to the cloud. When you get back to the office you can open it on your laptop, iPhone, or iPad.

This should save you several steps, paper, and time. Might also keep you better organized.
